WELCOME TO THE AZHANE OHARA SOCIETY OF LUXURY EVENTS
As we enter 2026, our demand, capabilities, and service offerings have grown tremendously. With that growth comes higher expectations, stronger structure, and a more elevated experience for every client.
My priority this year is simple:
To ensure every client receives the time, attention, and luxury-level care they deserve.
To protect the quality of your experience, I’ve updated our booking requirements, consultation structure, retainer policy, and payment guidelines. These steps are designed to create clarity, eliminate confusion, and guarantee a smooth, intentional planning process.
This page will walk you through exactly how to book, what you need before booking, why consultations are mandatory, and how payments work for 2026.
THE BOOKING PROCESS

2. Know Your Booking Information
Before submitting an inquiry, please have the following ready:
- Event date
- Venue or event location
- Estimated guest count
- Color palette or inspiration photos
- Type of service needed (planning, coordination, décor, rentals, or catering)
- Realistic budget range
If you do not have these details, you are not ready to schedule a consultation!

CONSULTATIONS — WHY THEY ARE REQUIRED
A consultation is mandatory for all wedding services because it allows us to:
- Understand your event needs
- Determine which service level best fits you
- Align your budget with your goals
- Discuss your style, colors, and expectations
- Review venue access times & logistics
- Establish readiness before moving forward
- Provide professional guidance and clarity
A consultation is a structured meeting, not a brainstorming session.

Consultations allow me to properly review your event before committing time, scheduling, or resources.
THE RETAINER
$375 Retainer Fee (Non-Refundable & Required After Consultation)
This retainer allows us to move forward after your consultation—it covers the professional work completed before you ever sign a full-service agreement.
What the $375 Retainer Covers:
✓ Your consultation
✓ Time reviewing colors, inspo photos, and event vision
✓ Reviewing venue rules, access times, and logistics
✓ Early vendor considerations
✓ Budget mapping + service alignment
✓ All communication before/after your consultation
✓ Creating your event file in our system
✓ Blocking your date while preparing your proposal
✓ Administrative time spent analyzing your event needs
Why This Retainer Exists:
Your consultation includes years of industry expertise, professional assessment, and behind-the-scenes preparation. If a client cancels or chooses another vendor after receiving this value, the retainer ensures that the time invested is compensated.
If you cancel or choose another direction after the consultation, the $375 remains non-refundable.
This is NOT your service Deposit.
The retainer does not apply toward décor, planning totals, or materials.
SERVICE DEPOSIT (35%–50%) Once the retainer is paid and the contract is signed, your service deposit is required.
Your deposit:
- Is 35%–50% depending on service
- Applies toward your total balance
- Secures all vendors, rentals, florals, materials, and staffing
- Must be paid before any planning, ordering, design, or production begins
Your date is not fully booked until:
✔️ Retainer is paid
✔️ Contract is signed
✔️ Service deposit is completed
Both payments protect the integrity of your event and allow our team to begin preparing for your wedding.
ACCEPTED PAYMENT METHODS
All payments must be submitted through approved, secure platforms:
- Square
- Stripe
- Debit card
- Credit card
Not Accepted:
- ACH payments (case-by-case exceptions only)
- Cash App
- Apple Pay
PAYMENT POLICIES
Payment Plans
Payment plans are available, but:
• Payments must be made on the scheduled dates
• Payments must be in by 12 PM (noon)
• Payment plan changes must be requested before the due date (if causes a inconvenience with outsourced vendor payment I can decline)
Late Payment Policy
Vendor timelines are strict.
If your payment is late:
- Your services may pause
- Vendors cannot be confirmed
- Your event may be removed from the schedule
- Late payments risk delays in ordering, planning, and production
Final Balance
Your final payment must be made by the date on your invoice.
No exceptions.
